Business case
Card and phone payments for your vending fleet
Based on 50 machines and current cash sales of €60,000 per month. Three cases are shown because the sales increase is an estimate until a pilot measures it.

What the figures assume
| Machinesexample value | 50 |
| Sales per machine per day, cash onlyexample value | €40 |
| Selling days per monthexample value | 30 |
| Gross margin on productsexample value | 40% |
| Cash handling saved per machine per monthexample value | €10 |
| Reader price per machine, one-offexample value | €300 |
| Service fee per reader per monthexample value | €8.00 |
| Card processing feeexample value | 2.5% |
“Example value” marks a figure taken from the any fleet starting point and not yet replaced with your own. “Estimate” marks a figure a pilot would measure.
How the numbers are worked out
- Monthly sales today = machines × sales per machine per day × selling days.
- Extra gross profit = monthly sales today × sales increase × gross margin. Only the margin counts as gain, not the full extra revenue.
- Card processing fees apply to the card and phone share of the new, higher sales.
- Net gain per month = extra gross profit + cash handling saved − processing fees − reader service fees.
- Payback period = reader price for the whole fleet ÷ net gain per month.
Suggested next step
Fit readers to a handful of machines for one to two months. The pilot replaces the estimated sales increase and card share with your own measured figures, and the business case can be rerun on them.
